Common traveller-report mistakes (and how to avoid them)

The failures that delay MIR submission most: ID document, surnames, residence, and rushed desk capture — and how digital check-in reduces them.

Traveller reports rarely fail because teams “do not want to comply”. They fail because forms are filled under pressure, with the guest waiting for keys and a queue staring at the desk.

These are the mistakes that show up again and again — and how to cut them off early.

1. Bad document capture

DNI, NIE, and passport are not the same case. One wrong digit, a missing support number, or the wrong document type ends in rejection or urgent correction.

What helps: field-by-field validation while the guest types — not one error dump at the end.

2. Incomplete identity

In Spain, depending on the document, the second surname is not “optional by habit”. If it is missing when required, the report is not ready even if everything else looks fine.

What helps: the form guides identity for the case at hand, and your team reviews a coherent registration — not a half PDF.

3. Half-finished residence

If the guest lives in Spain, municipality matters. Making it up or leaving it blank “to move on” comes back as a failed lote.

What helps: municipality catalog when it applies, inside the same check-in flow.

4. Submitting without checking status

Sometimes the problem is not the first submit — it is not knowing what happened next. Without lote consultation, teams assume “it is done”… until it is not.

What helps: treat MIR status as operational truth (submitted, under review, with errors) and fix issues without starting over.

5. Leaving everything for arrival

The later you capture data, the more expensive every mistake becomes. The real differential is not “a pretty form” — it is moving capture before arrival.

How Reserviq approaches it

Reserviq combines:

  • A guest portal with your establishment’s brand.
  • Guided capture before physical check-in.
  • Review in your workspace.
  • MIR submission manual or automatic per company settings.
  • Consultation and correction when a lote does not line up.

A quick checklist for this week

  1. Can guests send details before arrival?
  2. Does someone review before submit — or is automatic submit an intentional choice?
  3. Do you know the real status of the last lote?
  4. Do you correct in the same system, or in a parallel spreadsheet?

If any answer is “depends on the shift”, you have an operational risk — not only a software gap.
